Five tips to maximize your investment in Microsoft Teams

Teams really does have the power to be a game-changer when it comes to workplace collaboration, but don’t say, “It’s done, let’s not talk about it anymore.” IT managers and decision makers need to look beyond the initial deployment. They need to understand how employees use Teams and be aware of any barriers or habits that may prevent wider use of the platform’s many features.

I recently made some important discoveries thanks to the 2021 Microsoft Teams Benchmarking Report with Microsoft Consulting firm. Published by SWOOP Analytics, this report studied nearly 100,000 Microsoft Teams across 33 organizations over a three-month period.

This study looked at everything from common behaviors and attitudes to sharing best practices. Despite the many successful examples of teamwork, many features are largely underutilized.

One number sums it all up: 97% of organizations are not realizing the full potential of Teams .

This report got me thinking about some of its findings and explaining why these considerations are critical for all businesses using Teams:

1. Microsoft Teams is not just a phone app

While many of us continue to work from home, it’s easy to understand that audio and video calls remain a way of life. This practice is mentioned in the SWOOP study, which observed that most respondents only use Teams for telephony (chats, calls, and meetings).

But, as the authors of the study observe, this only scratches the surface.

There are so many ways to collaborate in Teams, including: file sharing , channels (dedicated sections for organizing conversations by topics, projects, or disciplines), core and third-party apps , webinars , and taking grades. These actions can reduce or improve meetings and help deliver critical information efficiently.

However, this culture change is not high on the agenda for organizations new to Teams. The report observed that only 30% of respondents are active on Teams channels, a figure that drops to 11% when consulting companies are excluded.

That’s why I encourage companies to designate internal “super users” and get executive buy-in, among other strategies to drive Teams adoption . You can also speed up the process by migrating your other SaaS tools (like Box and Slack) to Microsoft 365. Keeping these other services creates confusion and discourages the use of Teams.

Adopting a governance policy in Teams also makes the experience simpler and more secure for everyone (more on this later).

2. Organize conversations and meetings on Teams channels

The SWOOP report observed that most chat or call-based communication in Teams (98%) is between two people. In addition, there are on average 28 times more chat messages sent than messages on other channels.

Conversations are quick and convenient, but they fragment institutional knowledge. They can also create an overload of work (sending messages to several people separately for a shared task for example) or exclude key stakeholders from the loop.

The authors of the SWOOP report recommend reserving the Teams chat feature for personal use and using channels for work-related discussions. This will ensure that all parties involved and that all important conversations and files are connected. (Teams offers both public and private channels , making it easy to restrict access to sensitive topics.)

Unsurprisingly, SWOOP also advises holding meetings across channels, whenever possible, to ensure context, continuity, and collective action. Having strong, real-time dialogue across channels keeps everyone engaged and prepared, which is critical as hybrid work organizations seem set to stay.

3. Identify inactive teams (and delete them if necessary)

Creating a team is child’s play. But this simplicity can lead to an excess of underutilized or inactive teams, especially after the completion of a project. Result: a proliferation of confusing content, even duplicates, or the impression that a tornado has ravaged your computer screen.

In fact, of all the teams analyzed in the SWOOP study, only one in four teams recorded activity and less than 3% of them had relevant levels of interaction.

Dormant or redundant teams do not just pose digital housekeeping problems. They also pose security risks. For example, external guests may continue to have access to corporate resources or sensitive content may be accidentally deleted.

This is why it is essential to define governance “guides” in Teams that encourage optimal use in your ecosystem. Who can create a team and why? What apps and services can users add? Is there a plan to manage the lifecycle of content and workspaces when a project is complete (or after an employee leaves)?

4. Small teams, fit for the job

Imagine you are at a party or a large networking event. You wouldn’t have a conversation with everyone, would you? The same goes when you create a team. The SWOOP report concluded that the ideal team size is 10 people.

Why ? The larger the group, the more difficult it is to manage when delegating a project or managing a committee, which leads to communication breakdowns and a certain passivity. Likewise, if most members of a channel aren’t participating, completing even a small task quickly becomes tedious. A person may find themselves faced with a barrage of useless messages or, in the event of disengagement, neglecting an action.

5. Make Microsoft Teams security and backup a priority

Despite uneven use of Teams among respondents, overall adoption is growing. So is enthusiasm: the SWOOP study observed that many respondents are taking an increasingly serious interest in Teams channels and digital collaboration in order to exploit all the richness of the platform, beyond telephony basic.

So, as an increasing volume of critical data is created in Teams, it’s critical that everyone on your teams understands the exorbitant cost of data loss .

Collaboration security is crucial. Governance is part of the equation, as are backup and restore capabilities. Teams and Microsoft 365 data can be lost in a myriad of ways, including through user or admin error or a growing wave of ransomware attacks.

A Teams team can be restored by an administrator within 30 days of its deletion, but after this time, its content is lost forever. And while it’s possible to natively archive Teams teams, and set data retention rules that can help manage the duration of a team, there’s no real “backup” option.
